Why Bilflow sends email

Bilflow sends email to make the service usable, secure, and operationally reliable. Most emails are triggered by user activity, account changes, invitations, security events, or other concrete actions inside the platform.

What kinds of emails Bilflow sends

Bilflow sends emails that are directly related to use of the platform, an active account, or a specific onboarding or support dialogue. This may include:

Bilflow only sends transactional emails related to use of the system. Examples include login, invitations, task updates, and system notifications.

  • account verification and invitations for new users
  • password reset and security-related messages
  • information about access, account changes, or necessary operational conditions
  • relevant system notifications and replies to support or onboarding requests

Required system emails vs. optional notifications

Required system emails are messages that are necessary for login, security, or operation of the service. They cannot be turned off while an account is active, because they are part of providing Bilflow safely and reliably.

Optional notifications are messages tied to personal preferences, follow-up, or workflows where the user can decide whether email should be used.

Optional notifications are controlled in the app

Optional notifications are managed in Bilflow under user settings. Users can adjust which non-essential emails should be turned on or off there.

If you do not want optional emails from Bilflow, the right place to start is the settings inside the app. Optional emails also include an unsubscribe link for the relevant notification type. Necessary messages about access, security, and active operations may still be sent while the account remains open.

How to avoid unwanted emails

  • Review your notification settings in the app and disable optional emails you do not need.
  • Use the unsubscribe link in optional notifications if you only want to stop that specific category of email.
  • Ask your company administrator to remove your access if you no longer need a user account.
  • Contact us if you receive messages that do not match your role or relationship with Bilflow.

How to unsubscribe

If you no longer want optional emails from Bilflow, you can use the unsubscribe link in the relevant notification or disable optional notifications in the app. If you no longer use the service, you or your company administrator can ask for the account to be closed or deleted.

Once the account is closed, Bilflow will normally stop sending emails. We may still send or retain limited information where this is necessary for legal obligations, security, documentation, dispute handling, or normal operational processes.

Abuse prevention and responsible sending

Bilflow does not use purchased mailing lists and does not send spam or bulk marketing to unrelated recipients. We send emails to people who are registered users, invited by a customer, or in direct contact with us about onboarding, support, or service operations.

We actively work to prevent misuse of our sending channels and to protect sender reputation through responsible processes, controlled sender access, and review of unusual activity.

Technical protections, bounce handling, and complaints

We use technical protections such as domain authentication and delivery monitoring to support legitimate sending. We also review bounces, delivery failures, and complaints to avoid repeated sending to addresses that cannot or should not receive email.

Bilflow monitors bounce and complaint events and suppresses addresses that repeatedly fail delivery or generate complaints.

If an address shows repeated delivery issues or complaints, we investigate the cause and adjust or stop sending where appropriate.
